Events Officer
Job description
The Events Officer will contribute to the planning, coordination and delivery of meetings and events for the European Labour Authority (ELA), ensuring that event services are organised efficiently, consistently and in line with the applicable framework contracts, financial rules and internal standards. • Analyse event service needs submitted by Event Requesters and translate them into concrete service and contracting requirements • Prioritise and manage overlapping bookings and conflicting event requests in line with ELA prioritisation rules • Organise and lead regular planning meetings with units/sectors to anticipate upcoming events and identify opportunities for bulk contracting • Advise operational units on feasibility, timing, and organisational aspects of events • Prepare, manage, and submit Requests for Specific Contracts under relevant framework contracts • Register and manage all contracting documentation in ARES, Events App, and related systems • Coordinate contractor cascade activation where applicable • Review, negotiate, and finalise offers with contractors in close consultation with the Event Requester, ensuring a balance between cost, logistics, and event quality • Ensure selected offers comply with ELA Event Standards, Financial Rules, and contractual conditions • Act as Operational Initiating Agent (OIA) for budgetary commitment requests and follow up financial workflows • Act as the single point of contact for contractors for all logistical, contractual, and operational aspects of events • Coordinate and supervise service delivery before, during, and after events • Provide on-site or remote support for events, including troubleshooting and coordination of last-minute changes • Coordinate post-event follow-up with contractors and internal stakeholders • Organise and lead contractor performance reviews, status meetings, and feedback sessions, track contractor performance • Contribute to continuous improvement of event standards, processes and tools • Contribute to updating templates, tools, and SOPs related to event management

Personality requirements and skills
The ideal candidate is proactive, service-oriented, and reliable, with strong attention to detail, the ability to manage multiple tasks efficiently, and a collaborative, team-oriented mindset. The working language is English; knowledge of Slovak would be an asset for liaising with local suppliers and service providers. Working knowledge of MS Office required.
